What to Check When a Research Vial Arrives — and How to Store It

The box shows up, and there are about ninety seconds where you can catch anything worth catching. After that the vial goes in a drawer or a fridge and gets opened weeks later, when nobody remembers what it looked like on day one.

This is the boring half of research supply, and it is the half that generates the most questions we see asked publicly. Not what a compound is. What arrived, whether it looks right, and where it should sit until it is used.

Here is what is worth doing when a sealed vial lands, in plain order.

First: the vial is probably not empty

The single most common message a supplier in this category gets is some version of there is nothing in it.

A few milligrams of freeze-dried material is not much to look at. Depending on how the lyophilization cycle ran, it can present as a firm cake sitting in the bottom, a thin white film coating the glass, or a scatter of loose powder that has come off the wall of the vial during transit. Against a white label and a white shipping insert, a film is genuinely hard to see. Tilt the vial under a light before concluding anything.

Loose material clinging to the stopper or the shoulder of the vial is not a defect either. Dry powder moves when a parcel is thrown. It is the same material, in the same sealed container, at the same mass.

What you are actually checking on arrival is narrower than most people assume, and it comes down to four things: the seal, the glass, the label, and the state of the solid. If the crimp is intact, the glass is uncracked, the label matches what you ordered including the size, and there is dry material inside — that is a normal arrival. Second: transit temperature is not the variable people think it is

Domestic parcels get warm. Vans sit in the sun, packages wait on porches, and somebody always asks whether three days in August ruined the contents.

The reason a dry format exists at all is that removing the water removes most of the chemistry that degrades the material. A solid in a sealed vial is a fundamentally different object from the same compound dissolved in a liquid, and it is far less reactive. That is why so much of this category ships lyophilized rather than pre-mixed, and it is why a short domestic transit window is a much smaller factor than the storage that follows it.

That is not a promise that heat does not matter — it does, and the specific conditions differ by compound. It is a statement about proportion. Transit is three days and out of your hands. Storage is every day afterward and entirely in yours. Almost everyone worries about the first and improvises the second.

Third: a physical change in a solid is not the same as contamination

This is the distinction that causes the most avoidable panic, so it is worth being precise.

A physical change is the material moving or settling: a cake that has cracked or collapsed, powder that has shifted to one side, a film that has flaked. Nothing has been added and nothing has left. The vial is still sealed.

Contamination means something got in. That requires a route in — a broken crimp, a compromised stopper, a hairline crack, or a vial that has already been entered and re-sealed by hand. If the seal is intact, that route does not exist.

The genuinely useful signals are the ones involving the container rather than the contents: a loose or lifted crimp, an unseated stopper, a cracked or chipped vial, visible liquid or moisture inside what should be a dry vial, or a label that does not match the order. Those are worth stopping over and worth contacting us about. A puck that has broken into three pieces is not.

Colour is the one exception where “it depends” is the honest answer, because a small number of compounds are not white to begin with, and expectation varies by material. If the appearance is not what you expected for that specific compound, ask before you use it rather than after.

Fourth: storage starts the moment it is in your hands

Two rules cover the sealed vial, and they are unglamorous.

Keep it cold and keep it dark. Cold slows the chemistry; light and moisture accelerate it. A sealed vial in a stable, dark, cold place is the low-effort default, and the specific handling guidance for whatever you ordered is published in the Compound Information block on its product page. It is worth reading before the vial is opened rather than after, because the guidance is not identical across the catalog.

The second rule is about the version that is no longer sealed. Material placed into solution is less stable than the sealed lyophilized vial. It should be kept cold, used within a short working window, and protected from repeated freeze-thaw cycles, which are more damaging than a single sustained period at temperature. Forto does not publish a shelf life for material in solution, and neither should anyone else without stability data behind the number — the answer depends on the compound, the diluent, the concentration, and the storage conditions, which is four variables a general statement cannot cover.

On the choice of diluent itself: that determines stability more than almost anything else you do, and it is a protocol decision for the receiving laboratory. We do not make a recommendation.

Fifth: label the vial the day you open it

The cheapest thing on this list and the one most often skipped.

Write the date on the vial the day the material goes into solution. Not the order date, not the arrival date — the date the state changed. Six weeks later, the only question that will matter is how long it has been in that state, and there is no way to recover the answer from the glass.

The same applies to keeping the original packaging and its identifiers with the material until it is finished. A vial separated from its batch identifier is a vial you cannot ask a question about. When somebody writes to us about a specific vial, the batch is the first thing we need and often the thing they no longer have.

The short version

Look at the vial in good light before assuming it is empty. Check the seal, the glass, the label and the solid — in that order. Treat a broken cake as a physical change and an intact seal as an intact seal. Store it cold and dark, understand that the sealed dry state is the stable one, and write the date on the vial the moment that stops being true.
